Microsoft Teams is a good one to consider, we have even able to utilise this on our Government networks….

 

It is also affordable (ish), enough so that I can afford it for myself  (so if anyone wants to see how this works, I’m happy to setup a simple teams meeting and invite everyone (I can have up to 700 participants).

I think an outside organization would be best.  It provides six degrees of separation from any institutional (.gov .mil) prohibition against Zoom.  Any such contractor should have trained personnel and equipment on hand.  (Otherwise they wouldn't be a contractor worth their salt.  So I'd pick a long standing contractor and avoid any start-ups.)

A story about short term military contract done in a hurry:

Back in the day, my brother-in-law had a small lighting and grip company near Burbank.  He had one of the few companies in Southern California with any know-how to install and operate old fashioned Klieg Lights.  He was given a short term contract to set them up for the earliest night landings for the space shuttle, not so much to assist landing the shuttle, but so they could get good video of the shuttle's landing during darkness.  (I think it was Edwards AFB.)  Klieg Lights only lasted several minutes before they would burn out.  So timing for the landing was critical.  The landing was a media success and the Flag Officers were duly impressed.

It was never mentioned, but at the time my brother-in-law and nearly all of his stage crew were illegal aliens and got base access.

That would never be allowed to happen Today.  (Or could it?)

Most of the problems with zoom were the result of the zoom meeting host not selecting the proper settings (eg password required to enter, password emailed to registrants just before the meeting, all who enter the meeting are held in the "waiting room" before being allowed to enter, a list of registrants to compare with people in the waiting room, etc) and participants posting the meeting details to their social media accounts. The Connections planning team are discussing which system(s) to use, whether to contract with an organization to run the conference, and what training is required for people who will facilitate and moderate each session.

Connections US will be online only. Zoom versus Gotomeeting is TBD for presentations, keynote speeches, discussion groups, plenaries, etc. Other techs being investigated for game demos and game lab. We need to modify our TOR to change the name from Study Group to Standing Study Group. For reference, I’ve attached the ENGTAM SSG’s TOR that we can pattern after (mainly a change in name to SSG and rework of the period of performance).
